SUMMARY
Responsible for planning, implementing, and coordinating onsite management of workshops, events, meetings and conferences. Considerable travel, evenings, and weekends may be involved. May supervise Event Planners and Associate Event Planners and may develop new educational events.
 
DETAILED RESPONSIBILITIES
  • Lead and manage small to large scale workshops, events and/or expo
  • Learn, follow, and utilize internal/external SOPs, compliance policies, and standard templates (budgets, project plans, event spec sheets, events calendar, event folders)
  • Conduct event research (venues, giveaways, speakers), conduct site inspections, review proposals and negotiate contracts
  • Manage relationships with vendors, hotel staff, and other partners to ensure the delivery of services
  • Create/maintain/reconcile budgets, manage food and beverage, rooming lists, audiovisual needs, signage/displays orders, transportation requests, speakers or entertainers, confirm onsite attendee lists, and provide onsite event support as required
  • Create and maintain registration sites, communications, feedback surveys, and reports through Event Espresso, a registration tool
  • Learn and research new innovative concepts and tools to enhance experiences at events
  • Provide strategic support and knowledge share with the internal team, stakeholders, and leadership
  • Utilize internal resources and other seasoned experts to ask for help, direction, escalate when there is an issue, and always collaborates
  • Mentor team members on assigned events and/or projects, as needed
KNOWLEDGE, SKILLS, AND ABILITIES
  • Works under limited supervision.
  • Prior experience in all elements of planning, coordinating, managing workshops, dinner events, meetings, conferences. A minimum of 5 years relevant experience is required
  • Experienced in coaching and supporting team members
  • Ability to collaborate with others, work well on a team, and actively contribute to team meetings
  • Confident in working with senior leaders/executives and their administrative staff
  • Ability to work, stay calm, composed, and professional under pressure in a fast paced environment with little to no supervision
  • Extreme attention to detail and ability to multi-task with short deadlines
  • Must be resourceful and have the ability to problem solve to ensure stakeholders’ needs are met
  • Possess expert judgment and ability to make sound decisions within gray areas
  • Display a positive attitude in all interactions with internal and external teams
  • Flexible and willing to assist colleagues with projects and tasks outside of job requirements
  • Maintain knowledge of industry trends and best practices to enhance meeting and event quality
  • Proficient in Microsoft Office Applications (Microsoft Outlook, Word, Excel, and PowerPoint); advanced knowledge of Excel formulas and mail merge a plus
  • Excellent communication skills both verbal and written
  • Self-motivated, flexible, patient, and ability to use good judgment
  • Must be willing to travel, including weekend travel
  • May require prolonged standing during onsite support
EDUCATION AND EXPERIENCE
  • Bachelor Degree in Marketing or Communications preferred.
  • Minimum of 5-7 years of experience in Event Planning & Management
  • Ability to develop new educational events
WORKING CONDITIONS
  • Some early, late or weekend hours may be required 
  • Travel is a requirement
